Privacy Policy
Your privacy matters. This policy explains what Ninja Communications LLC ("Ninja Communications", "we", "us", or "our") collects, why, how we use it, and the choices you have — including your rights under U.S. state privacy laws and our TCPA / A2P 10DLC SMS program disclosures.

2. What we collect
We collect information you give us directly and information we receive when you interact with our website, SMS program, or sales process.
Information you provide
- Contact details — name, business name, email address, phone number, mailing address.
- Survey responses — answers to qualifying questions about your business (pain points, revenue, timeline).
- Payment details — billing name, billing address, and payment-method tokens processed by our PCI-compliant payment processor (Stripe). We do not store full card numbers or bank account numbers on our servers.
- Intake / onboarding information — details about your call volume, business hours, team, compliance materials, and operations needed to deliver our service.
- SMS / voice communication content — messages you send to or receive from us or from agents operating on your behalf.
Information collected automatically
- Device / browser metadata (IP address, user agent, referrer).
- Basic analytics about how you navigate ninjacomms.io (page visits, form interactions, UTM campaign parameters).
- Cookies and similar tracking — see Section 6.
Information from third parties
- Your CRO partner or employer may share your contact information with us so that we can provide call-center services on their behalf.
- Marketing attribution partners may pass UTM parameters when you click a Ninja Communications ad or email link.
3. How we use information
We use the information we collect to:
- Respond to inquiries and schedule discovery calls.
- Deliver the BPO / call center services you or your CRO engaged us to provide.
- Send service communications (appointment reminders, status updates, monthly progress updates, CMI recovery outreach).
- Send marketing communications to prospects who have opted in — you can opt out at any time (Section 9).
- Process payments and manage billing.
- Comply with legal obligations and enforce our agreements.
- Detect, prevent, and respond to fraud or security issues.
- Improve our services and website.
4. SMS program & TCPA / A2P 10DLC
Ninja Communications operates an A2P 10DLC-registered SMS program through a U.S. wireless carrier aggregator. By submitting your phone number through our forms or by replying START / YES / JOIN to one of our messages, you provide prior express written consent under the Telephone Consumer Protection Act (TCPA) to receive non-marketing and marketing SMS messages from Ninja Communications at the mobile number you provided, including messages sent via automatic telephone dialing systems.
What you can expect
- Message types: transactional (appointment confirmations, discovery-call reminders, onboarding nudges, service updates) and — for leads who explicitly opted in — promotional messages.
- Message frequency: varies by program. Typical maximum is 8 messages per month per user.
- Cost: message and data rates may apply. Check with your wireless carrier.
- Supported carriers: all major U.S. carriers including AT&T, T-Mobile, Verizon, Sprint, U.S. Cellular, Cricket, MetroPCS, Boost, and their MVNOs. Carriers are not liable for delayed or undelivered messages.
Opting out
- Reply STOP to any Ninja Communications SMS to unsubscribe from that program.
- Reply HELP to any Ninja Communications SMS to receive help or contact information.
- You can also email privacy@ninjacomms.io to be removed from all SMS lists.
Confidentiality of SMS opt-in data
Ninja Communications does not share, sell, rent, or disclose mobile numbers, SMS opt-in data, or SMS message content to any third party or affiliate for their own marketing or promotional purposes. We share this information only with service providers under contract who need it to deliver the SMS program itself (for example, our carrier aggregator and CRM provider), and only to the extent necessary for that purpose.
5. Who we share with
We share information with:
- Service providers acting on our behalf — hosting (Vercel), CRM and workflow (GoHighLevel / LeadConnector), SMS aggregators, payment processors (Stripe), analytics providers, and similar vendors — bound by contract to protect your data and use it only for the purposes we engage them for.
- Your CRO partner / employer if we provide services on their behalf and sharing is required to deliver those services.
- Legal and safety — to comply with a subpoena, court order, lawful regulatory request, or to protect Ninja Communications, our customers, or others from harm or fraud.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, with notice to you where required.
We do not sell personal information, and we do not share your phone number, SMS opt-in data, or SMS message content with third parties or affiliates for their own marketing.
6. Cookies & tracking
Ninja Communications uses a minimal set of cookies and similar technologies to make the site work and to measure performance (for example, detecting the UTM campaign that referred you, or remembering that you submitted a survey so we do not show it twice). We do not sell cookie data and do not use cross-site advertising cookies. You can disable cookies in your browser; the site will still function but some features may not work.
7. Data retention
We retain personal information for as long as reasonably necessary for the purposes described in this policy, including for:
- As long as you are an active customer or lead.
- Up to seven (7) years after the end of the engagement, to comply with tax, accounting, and contractual obligations.
- Longer where required by law (for example, records related to TCPA / A2P consent are retained for the duration mandated by the FCC and carrier requirements).
When we no longer need the information, we delete or de-identify it.
8. Security
We use administrative, technical, and physical safeguards to protect personal information — including HTTPS / TLS in transit, encrypted storage at the vendor layer, access controls, and role-based permissions for our agents and contractors. No method of transmission or storage is 100% secure. If you believe your account or information has been compromised, please email security@ninjacomms.io.
9. Your rights & choices
- Access / correction / deletion: email privacy@ninjacomms.io to request a copy of the personal information we hold about you, to correct inaccuracies, or to have it deleted (subject to legal retention requirements).
- Marketing opt-out: click the "unsubscribe" link at the bottom of any marketing email, reply STOP to any SMS, or email us.
- Do not sell / share: we do not sell personal information. You do not need to submit a request; the default is off.
- Appeal: if we deny a privacy request, you may appeal by replying to our response or emailing privacy@ninjacomms.io with "Appeal" in the subject line.
10. California privacy (CCPA / CPRA)
California residents have the right to know what categories of personal information we collect, to access and delete that information, to correct inaccuracies, to opt out of "sale" or "sharing" (we do not sell or share personal information as those terms are defined under the CPRA), and to limit the use of sensitive personal information. California residents also have the right not to be discriminated against for exercising their privacy rights.
To exercise your California rights, email privacy@ninjacomms.io. We will respond within 45 days.
11. Children
Ninja Communications' website and services are intended for business users and are not directed to children under 13 (or under 16 in the EEA and UK). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact privacy@ninjacomms.io and we will delete it promptly.
12. International users
Ninja Communications operates primarily in the United States. If you access the site from outside the U.S., you acknowledge that your information will be processed in the U.S., where data-protection laws may differ from those of your jurisdiction.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of the page. Material changes will be communicated via email (to active customers) or a prominent notice on our website. Your continued use of the site after changes take effect constitutes acceptance of the updated policy.
